At The Memory Bear Company, every bear is thoughtfully handmade from clothing and fabrics that hold special meaning to you. Because each order is completely custom, please review the following policies carefully before placing your order. 🧸💕

Ordering & Reserved Production Time

When you purchase a Memory Bear, you are reserving dedicated time on our production schedule, along with our craftsmanship, design expertise, and handmade sewing services.

Our production schedule stays extremely full, and every bear requires significant time and care to create. Please be certain you are ready to proceed before submitting your order.

Cancellations, Returns & Refunds

Due to the custom nature of our Memory Bears, we do not accept cancellations, returns, or refunds once an order has been placed.

Your purchase reserves a spot on our production schedule, and preparation for your custom order begins before we receive your fabrics. This policy also applies if you change your mind or decide not to send your materials.

Sending Your Fabrics 📦

After checkout, you will receive an order confirmation and instructions explaining how to send your fabrics to us.

Customers are responsible for the cost of shipping their fabrics to us. We strongly recommend using a shipping service that provides tracking, as we cannot be responsible for packages that are lost or damaged before arriving at our studio.

Fabric Requirements ✂️

Most clothing and fabric types can be used to create a Memory Bear. Suitable items may include:

  • Baby clothes, onesies, and sleepers

  • Shirts and other clothing from a loved one

  • Uniforms

  • Blankets

  • Wedding dresses

  • Other meaningful fabrics

As a general guideline, one large men’s button-up shirt is usually enough to create one bear. If you are sending smaller baby items, we typically recommend approximately eight onesies or sleepers.

Please send clean fabrics that are ready to be used. If you are unsure whether your items will work, email us before placing your order.

Fabric Placement & Design

Each Memory Bear is individually designed according to the size, condition, stretch, print placement, and amount of fabric provided.

We make every reasonable effort to preserve meaningful details such as logos, embroidery, graphics, pockets, buttons, and special sections of fabric. However, bears are created from several smaller pattern pieces, so large designs or logos may not fit in their entirety.

By placing an order, you give us permission to use our best judgment when cutting, arranging, and combining your fabrics. Because every bear is handmade, pattern placement and finished appearance will vary. No two bears will ever be exactly alike. 🪡

Cutting Sentimental Items

Creating your bear requires us to permanently cut and alter the clothing or fabrics you provide. Once materials have been cut, they cannot be restored to their original condition.

Please check all pockets and remove any personal belongings before mailing your items. Only send fabrics that you are comfortable having permanently transformed.

Additional or Unused Fabric

Please send only the items you would like us to consider using in your bear. Sending additional fabric does not guarantee that every item, design, or section will be included. Shipping excess fabric can become costly and if you would like it returned with the bear we will invoice additional shipping costs.

Production Time ⏰

Production may take up to four weeks beginning when we receive your fabrics—not from the date the order is placed.

This timeframe is an estimate and may vary during busy seasons or for especially detailed projects. Shipping time is not included in the production timeframe.

If we do not receive your fabrics within the expected processing period, your order will be placed on file until they arrive. Your order will not be canceled or refunded. Once your fabrics are received, your order will be added to our active production schedule.

If you need your bear by a specific date, please contact us before ordering. We cannot guarantee completion or delivery by a requested date unless arrangements have been confirmed in advance.

Completed Bears & Return Shipping 🎁

Once completed, your Memory Bear will be shipped to the address provided at checkout. Each bear includes a gift bag, keepsake tag, and blank note card.

Customers are responsible for entering a complete and accurate shipping address. Please contact us as soon as possible if your address changes. We cannot guarantee that an address can be updated after an order has entered the shipping process.

Once a package has been accepted by the shipping carrier, transit times and delays are outside our control. We do ship with tracking and insurance.

Handmade Variations

Small variations are a natural part of handmade work and are not considered defects. The finished bear’s shape, color placement, texture, and appearance will depend on the fabrics provided.

Some materials may stretch, fray, wrinkle, shed, or behave differently during sewing. We carefully reinforce and stabilize fabrics when needed, but the original qualities and condition of your materials may affect the finished keepsake.

Display & Care

Memory Bears are handmade keepsakes and are intended primarily for gentle handling and display. They are not designed to withstand rough play and should not be used as toys for babies, young children, or pets.

To help protect your bear, spot-clean gently when necessary. Do not place it in a washing machine or dryer.
